Creating and Posting Journal Entries

A journal entry records a transaction in equal sides and preserves approval and posting history.

Record the entry

Choose the date, type, and description, then add at least two lines using active detail accounts.

  • Total debits must equal total credits.
  • Each line may carry a currency and cost center.

Approval and posting

Review the draft, approve it, then post it, or use automatic posting for balanced entries when enabled.

  • Posting requires an open period.
  • The entry number is assigned on posting, not draft creation.

Editing and reversal

Edit draft information only, and correct a posted entry through reversal rather than alteration.

  • Draft or approved entries may be cancelled before posting.
  • Reversal swaps debit and credit sides in a new entry.
