Purchase Payments Guide
A purchase payment records money paid against a posted supplier bill and updates its liability and schedule.
Record a payment
Choose the bill, payment date, amount, method, and paying account, adding bank or check details when needed.
- Payments are created only for posted bills or later payment states.
- The amount cannot exceed the bill balance due.
Posting and allocation
Posting reduces accounts payable and credits cash or bank, then increases paid amount, lowers balance, and updates bill status.
- The system allocates payment to the oldest unpaid installments first.
- The bill may become partially or fully paid.
Cancellation
Cancelling a posted payment reverses its entry, reduces paid amount, recalculates balance and status, and deallocates newest paid installments first.
- A payment can be edited or deleted only while draft.
- Bill and schedule changes remain synchronized with cancellation.
