Recording Stock Receipts

A stock receipt records goods entering a warehouse and combines item quantities and costs in one document.

Create the receipt

Choose the date, warehouse, and optional supplier, then add at least one item with quantity and unit cost. The system calculates line and document totals.

  • The source can be classified as purchase, return, adjustment, opening, or other.
  • An external reference and notes can be retained.

Batches and expiry

Each line can include a batch number and expiry date to support lot-sensitive stock tracking.

  • Tracking details are recorded at receipt-line level.

States and impact

A draft can be edited or deleted without stock impact. Approval makes it read-only, increases stock, records movements, and recalculates average cost.

  • A document cannot be approved twice.
  • Only an approved document can be cancelled, reversing its stock effect.

Review

The creator, approver, and canceller are recorded, and every increase or reversal appears in the item movement history.

  • Receipts can be filtered by status, warehouse, supplier, source, and date.
